Your first Vendor Compare review

Choose the task you need: compare vendor costs, review quote changes and supplied-term completeness, or plan renewals and notice decisions. Each begins with labeled fictional data. Explore it before entering authorized redacted terms.

1. Compare vendor costs

  1. Choose New comparison, then enter vendor names and document references. Set the required services and monthly usage under Usage scenarios.
  2. In Quote terms, enter setup, fixed fees, monthly minimums and rates. Graduated tiers charge each band separately; volume tiers apply the reached rate to all units. Identify what counts toward the minimum.
  3. List unknown costs and known exclusions. Zero is an explicit zero charge; mark an absent rate as missing. Confirm each vendor's terms against the original document.
  4. Calculate and inspect each scenario, source reference and monthly cost. Missing fees, unknown costs, unreviewed terms or differing exclusions withhold the lowest-cost label.
  5. Choose Save inputs, check your browser's saved file, and retain it with the source documents. Incomplete quote text can be saved as a draft. Export the report and use the browser's Print dialog for PDF.

USD only; two to six vendors, up to twelve services, five scenarios and sixty months. Every scenario has the same period. Setup is charged once; rates remain fixed. Amounts, quantities and tier boundaries are decimal strings such as "0.40". Exact integer arithmetic allows twelve whole digits and six decimals, with setup at cent precision and each invoice rounded half-up to cents. Rounded service lines can differ from the total because the total uses unrounded charges.

Tax, credits, annual escalation, annual or service-specific minimums, FX, percentage-of-value charges and termination fees are not modeled automatically. Declare material unsupported costs as unknowns. Download the sample inputs and input schema.

2. Review a revised comparison

  1. Keep the earlier comparison's saved JSON file. Reopen it in cost comparison, edit the revised quoted terms and document references, check the source, and save a distinct revised input file. Keep services, volumes and period unchanged to isolate a quoted-term cost difference.
  2. Open Quote changes. Choose the Earlier comparison file and apply its preview, then choose the Revised comparison file and apply its preview. These slots accept saved comparison JSON, not PDFs or incomplete drafts.
  3. Check each original version and confirm its supplied terms. Exact vendor and scenario names identify matching entries; renamed entries require human review. Imports clear source confirmations.
  4. Inspect What changed and the declared-term completeness sections. Rates, tiers, setup, fixed fees, minimums, workload, scope, sources and review status are reported separately. Missing fees and unresolved terms remain visible.
  5. Read cost-impact reasons before interpreting a delta. A modeled change is withheld when vendor scope, service quantities, period or exclusions differ, or when terms remain unresolved or unreviewed. Lower modeled cost is not achieved savings.
  6. Save review packet retains both comparison versions and their labels. Export review creates a readable report. Verify both downloads. Use Open saved review to reopen the paired packet and confirm sources again.

Completeness covers only supplied structured fields and declared gaps. It cannot discover a charge omitted from both versions or establish that original contracts are complete or identical. The screen shows at most the first 100 identified changes, with a truncation notice; saved packets and exported input evidence retain the supplied terms. Download the quote-change sample packet and quote-change packet schema.

3. Plan renewal decisions

  1. Open Renewals and choose New review. Check the replacement preview. Add contract creates an unreviewed blocked row; you can add up to twelve without editing JSON. Remove contract asks you to confirm removal.
  2. Replace the new row's placeholder renewal date with the actual source date. Enter the controlling document/version, clause text and amendments, owner, backup and reviewer. Resolve the placeholder question after checking the actual date.
  3. Supply the notice basis, earliest permitted notice when applicable, required recipient, delivery method and whether dispatch or receipt is required. Calendar-day subtraction is supported. Business-day, month-based and complex clauses require a human-confirmed explicit date.
  4. Resolve missing evidence, conflicts and unresolved questions before confirming the controlling source. Changing a contract term clears its confirmation. Keep the renewal date, final notice deadline and internal action target distinct.
  5. Use the portfolio status/filter to find action due, blocked or missed items. A filter changes the screen, not which contracts the review export includes. Save inputs before leaving, and export the review packet.
  6. Eligible reviewed dates can be exported to an all-day ICS calendar. Blocked or missed deadlines are omitted; export fails if no eligible dates remain. Verify the file, import it into the chosen calendar and configure notifications there. The application sends no notice and configures no active reminder.

A calendar event does not establish legal timeliness or prove delivery. Download the renewal sample and renewal schema.

Save, reopen and file limits

This browser edition has no accounts, database or cloud history. Work remains in memory until you close or reload the page. Save editable inputs before leaving; a report or calendar file does not replace an input file. A download request does not prove the browser saved it.

Individual comparison and renewal files, including their pasted text, have a 4 MiB limit (4,194,304 UTF-8 bytes). A paired quote-change packet and its pasted text have an 8 MiB limit (8,388,608 bytes). The separate hosted MCP request limit is 256 KiB; this static edition has no MCP backend. Every import clears the imported source confirmations and requires fresh review. Declared gaps can be retained without treating a packet as ready for a decision.

There is no automatic PDF extraction, OCR, contract interpretation or proprietary market benchmark. An assistant can help prepare structured terms separately; check every entry against the original document. Never include credentials or personal customer records. Handle downloads with the same care as the source documents. Read AI preparation and browser privacy.
